Shoot Manager App Privacy Policy

1. Introduction

Motion Beach LLC (“we”, “us”, or “our”) operates the Shoot Manager mobile application (the “App”), a work management app to assist photographers, videographers, and other visual creatives with pre-shoot and day-of-shoot workflow. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use the App.

By creating an account or using the App, you agree to the collection and use of information as described in this policy.

2. Information We Collect

Account Information • Email address (used for authentication and account recovery) • First and last name (used for display within the App) • Password (securely hashed; we never store or view your plaintext password)

User-Created Content All content you create within the App is stored to provide the service. This includes: • Shot lists and individual shots • Mood boards and mood board images (uploaded or linked) • Gear bag items, rigs, and loadouts (including optional serial numbers, purchase prices, insurance details, and rental information) • Studio floor plan projects and canvas objects • Calendar events

Collaboration Data If you use the collaboration features (Pro plan), we collect additional information to facilitate team coordination: • Your collaboration team code (a unique identifier for team invitations) • Display name preference (how your name appears to team members) • Team membership records (which team you belong to, your role, join/leave dates) • Collaboration visibility settings for your projects (whether a project is shared with your team)

Photos and Camera When you choose to take a photo or select an image from your library (for gear item images, mood board uploads, or OCR shot list import), the image is processed and uploaded to our secure servers. We only access your camera or photo library when you explicitly initiate these actions. We do not access your camera or photos in the background.

Calendar Access If you choose to export events to your device calendar, we request calendar permissions solely for that purpose. We do not read, modify, or store events from your personal calendar.

Automatically Collected Information We use PostHog, a third-party product analytics and error tracking service, to collect anonymous crash reports, performance data, and basic usage analytics. This includes device type, operating system version, and error stack traces when an error occurs. Crash reports and analytics events do not contain your personal content.

We do not use advertising SDKs, behavioral tracking frameworks, or collect device identifiers, IP addresses, or location data for advertising or profiling purposes.

3. How We Use Your Information

We use the information we collect to: • Provide, maintain, and improve the App and its features • Authenticate your identity and secure your account • Sync your data across devices • Facilitate team collaboration by sharing designated projects with your collaboration team members • Process subscription and in-app purchase transactions • Send transactional emails (e.g., password resets, account verification) • Monitor app stability and diagnose crashes via anonymous error reports • Respond to support requests • Enforce resource limits and prevent abuse

4. Third-Party Services

We use third-party services to operate the App. These services process data on our behalf and are governed by their own privacy policies.

Cloud Infrastructure & Backend Your account credentials, user-generated content, and uploaded images are stored on secure cloud infrastructure with row-level access controls ensuring only you can access your own data.

Subscription Purchases Subscription purchases are processed through the platform’s native payment system (Apple App Store or Google Play Store). We do not receive or store your payment card details. Purchase receipts are validated to determine your subscription status.

Transactional Email A third-party email service delivers transactional emails on our behalf (e.g., password resets). It receives your email address solely for the purpose of delivering these messages.

PostHog (Analytics & Error Tracking) PostHog collects anonymous crash reports, performance diagnostics, and basic usage analytics to help us improve the App. Reports include device type, operating system version, and error stack traces. PostHog does not receive your personal content. PostHog processes data in accordance with its privacy policy.

Content Moderation When you report content or a user, the report details (reason, content type, and reporter context) may be forwarded to a third-party moderation service for review. This service does not receive your personal content, photos, or account data beyond what is included in a report submission.

5. Data Storage and Security

Your data is stored on secure cloud infrastructure with row-level security policies ensuring that only you can access your own data. All data transmission between the App and our servers is encrypted using TLS/SSL.

For faster access, a local copy of your data is cached on your device using an encrypted SQLite database. This local cache is cleared when you sign out or delete your account.

Uploaded images (gear photos, mood board images) are stored in private storage buckets and are accessible only through time-limited signed URLs generated for your authenticated session.

When you enable “Visible to Collaborators” on a project, that project’s data becomes accessible to members of your collaboration team via server-side access policies. Only the specific projects you mark as shared are visible to team members; all other data remains private to you.

6. Data Retention

We retain your data for as long as your account is active. If you downgrade from a Pro subscription, uploaded mood board images are retained for 90 days before automatic deletion.

When you delete your account, all associated data — including your profile, content, uploaded images, and collaboration team membership — is permanently removed from our servers. Any projects or content you created within a shared collaboration team are also deleted. This action is irreversible.

If you are a team lead and your Pro subscription lapses, your collaboration team will be dissolved after a 30-day grace period. Team members will be notified and all shared project links will be removed. Individual team members retain their own data.

If you leave a collaboration team or are removed by the team lead, your contributed content (shots, images, canvas objects) within shared projects is removed from the team’s view.

7. Your Rights

You have the right to: • Access and view all data stored in your account through the App • Edit or update your personal information at any time via Settings > Edit Profile • Delete specific content (shot lists, mood boards, gear items, etc.) individually through the App • Delete all saved data for a specific feature via Settings > Edit Saved Data • Delete your account and all associated data permanently • Revoke camera or photo library permissions at any time through your device settings • Control which projects are visible to your collaboration team via the “Visible to Collaborators” toggle on each project • Leave a collaboration team at any time, which removes your contributions from shared projects

8. Children’s Privacy

The App is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will delete it promptly.

9. Data Sharing

We do not sell, rent, or trade your personal information to third parties. We do not share your data with advertisers. Your data is only shared with the third-party service providers listed in Section 4, strictly for the purpose of operating the App.

Collaboration Team Members When you join a collaboration team and mark projects as “Visible to Collaborators,” the following data becomes accessible to other team members: • Your display name (as configured in your Display Name Preference) • Projects you have marked as shared, including their full contents (shots, images, mood boards, canvas objects, calendar events) • Shot completion attribution (which team member completed each shot) • Your collaboration team code (visible to team leads for invitation purposes)

Only projects explicitly marked as shared are visible to team members. You may revoke sharing at any time by toggling the “Visible to Collaborators” setting off on any project.

We may disclose your information if required to do so by law or in response to valid legal requests from public authorities.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the “Effective Date” at the top of this page. Continued use of the App after any modifications constitutes your acknowledgment and acceptance of the updated policy.
